1 Who we are

PacificTrade ("we", "us", "our") is an AI-powered business management platform built for trade business owners and their customers. We operate the PacificTrade website, web application, and related services (collectively the "Platform").

This Privacy Policy applies to all users of the Platform, including:

  • Business users — tradespeople and companies who use PacificTrade to manage quotes, jobs, invoices, and customers
  • Customer users — homeowners and clients who use PacificTrade to find tradespeople, receive quotes, and book services
  • Visitors — anyone who visits our website without creating an account

By using our Platform, you agree to the collection and use of information in accordance with this policy.

2 Information we collect

We collect information in three ways: information you give us directly, information generated by your use of the Platform, and information from third parties.

Information generated automatically:

  • Log data — IP address, browser type, pages visited, time spent on pages, referring URLs
  • Device information — device type, operating system, screen size
  • Usage data — features used, buttons clicked, quote links opened, time and frequency of use
  • Location data — approximate location based on IP address (we do not collect precise GPS location unless you specifically provide your address)

Information from third parties:

  • Google Reviews data — publicly available business ratings and reviews from Google (displayed on business profiles)
  • Payment processing data — transaction status information from Stripe (we never receive or store your full card details)
3 How we use your information

We use the information we collect for the following purposes:

  • To provide the Platform — processing quotes, managing job schedules, generating invoices, tracking revenue, and all other core features
  • To power AI features — your job history and completed invoices are used to improve the accuracy of AI-generated quote estimates over time. This data is processed by Anthropic's Claude AI via API. We do not use your data to train AI models.
  • To send communications — quote notifications, booking confirmations, payment reminders, and service updates via SMS and email on your behalf or to you
  • To match customers with businesses — customer job requests are matched to relevant business profiles based on trade type, location, and specialities
  • To improve our service — analysing usage patterns to fix bugs, improve features, and build new tools
  • To process payments — facilitating invoice payments between business users and their customers through Stripe
  • To comply with legal obligations — maintaining records as required by applicable law, responding to lawful requests from authorities
  • To protect against fraud and abuse — monitoring for suspicious activity, enforcing our Terms of Service

We do not: sell your personal data to advertisers, use your data for targeted advertising, share your customer list with other businesses, or use your job pricing data to benefit your competitors.

4 How we share your information

We do not sell your personal information. We share information only in these limited circumstances:

With service providers: We work with trusted third-party companies to operate our Platform. These providers only receive the data they need to perform their specific service and are bound by confidentiality agreements.

Between business users and their customers: When a customer submits a job request and selects a business, that business receives the customer's contact information and job details. The customer is informed of this at the time of submission.

For legal reasons: We may disclose information if required by law, court order, or governmental authority, or where we believe disclosure is necessary to protect the rights, property, or safety of PacificTrade, our users, or the public.

Business transfers: If PacificTrade is acquired, merged, or sells assets, your information may be transferred as part of that transaction. You will be notified before your data becomes subject to a different privacy policy.

5 SMS messaging and communications

PacificTrade enables business users to send SMS messages to their customers for purposes including quote delivery, booking confirmations, and payment reminders. This section explains how SMS communications work on our Platform.

For business users sending SMS:

  • You are responsible for obtaining proper consent from your customers before sending them SMS messages through PacificTrade
  • All SMS messages sent through our Platform must comply with the Telephone Consumer Protection Act (TCPA) and applicable carrier requirements
  • Every SMS sent through PacificTrade includes an opt-out instruction (e.g. "Reply STOP to opt out")
  • You must not use the SMS feature to send spam, unsolicited marketing, or messages unrelated to the services you are providing to the recipient

For customers receiving SMS:

  • You will only receive SMS messages from businesses you have contacted or engaged with through PacificTrade
  • You can opt out of SMS messages at any time by replying STOP to any message
  • Standard message and data rates from your mobile carrier may apply
  • PacificTrade does not send marketing SMS messages to customers on its own behalf without prior consent

SMS opt-out: To stop receiving SMS messages from a specific business using PacificTrade, reply STOP to any message from that business. To opt out of all PacificTrade-related communications, contact us at privacy@pacifictrade.app.

6 Data storage and security

We take the security of your data seriously and implement industry-standard measures to protect it.

Where your data is stored: Your data is stored on servers provided by Supabase, which uses AWS infrastructure located in the United States. Uploaded files and photos are stored on Cloudflare R2, a secure cloud storage service.

Security measures we use:

  • All data transmitted between your browser and our servers is encrypted using TLS (HTTPS)
  • Passwords are hashed using industry-standard algorithms — we cannot see your password
  • Access to production databases is restricted to authorised personnel only
  • Payment card data is never stored on our servers — it goes directly to Stripe's PCI-compliant systems
  • We conduct regular security reviews and promptly address any vulnerabilities

How long we keep your data:

  • Account data — retained for the duration of your account plus 90 days after deletion
  • Job and invoice history — retained for 7 years to support tax and financial record-keeping requirements
  • Photos and uploaded files — retained until you delete them or close your account
  • Log data — retained for 12 months
  • Deleted customer records — permanently removed within 30 days of deletion request

No method of transmission over the internet is 100% secure. While we do our best to protect your data, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.

7 Your rights and choices

Depending on where you live, you may have certain rights regarding your personal information. We honour these rights for all users regardless of location.

You have the right to:

  • Access your data — request a copy of all personal information we hold about you
  • Correct your data — update or correct inaccurate information at any time through your account settings or by contacting us
  • Delete your data — request permanent deletion of your account and personal information (subject to legal retention requirements for financial records)
  • Export your data — download your job history, customer list, and invoices in CSV format at any time from within the app
  • Opt out of communications — unsubscribe from marketing emails at any time using the unsubscribe link, or reply STOP to opt out of SMS
  • Restrict processing — in certain circumstances, ask us to limit how we use your data
  • Object to processing — object to our use of your data for certain purposes

California residents (CCPA): California residents have additional rights under the California Consumer Privacy Act, including the right to know what categories of personal information we collect and disclose, and the right to opt out of the sale of personal information. To exercise any of these rights, contact us at privacy@pacifictrade.app. We will respond to all requests within 30 days. We may need to verify your identity before processing certain requests.

8 Cookies and tracking

We use cookies and similar technologies to keep you logged in, remember your preferences, and understand how people use our Platform.

Types of cookies we use:

  • Essential cookies — required for the Platform to function. These include session cookies that keep you logged in. You cannot opt out of these.
  • Preference cookies — remember your settings, such as your fiscal year preference and default SMS templates
  • Analytics cookies — help us understand how users interact with the Platform so we can improve it. This data is aggregated and anonymous.

We do not use advertising cookies or allow third-party advertisers to place cookies on our Platform. You can control cookies through your browser settings, though disabling essential cookies may affect the functionality of the Platform.

9 Third-party services

Our Platform integrates with several third-party services. When you use these integrations, you are also subject to those companies' privacy policies. We encourage you to review them.

10 Children's privacy

PacificTrade is designed for adults operating trade businesses and adults seeking trade services. Our Platform is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13.

If you believe we have inadvertently collected information from a child under 13, please contact us immediately at privacy@pacifictrade.app and we will promptly delete that information.

11 Changes to this policy

We may update this Privacy Policy from time to time as our Platform evolves or as laws change. When we make significant changes, we will:

  • Update the "Last updated" date at the top of this page
  • Send an email notification to all registered business users
  • Show a notice within the app for at least 30 days after the change

Your continued use of the Platform after changes take effect constitutes your acceptance of the revised policy. If you disagree with any changes, you may close your account at any time.

We encourage you to review this policy periodically. Previous versions of this policy are available on request.
